Terms of Service: Returns Flow for Shopify

Last updated: 26 October 2026

These terms apply to Returns Flow for Shopify ("the service"), provided by Smartcode Ltd, United Kingdom ("we"). Installing or using the service means the merchant ("you") accepts them.

1. The service

Returns Flow lets your staff book customer returns in Shopify: find an order, record returned items and reasons, restock them to a location you choose, and issue the refund Shopify calculates. Returns, restocks and refunds are created in your Shopify store using Shopify's own returns features.

2. Your responsibilities

  • You decide your returns policy and who on your staff can use the app.
  • Refunds go to the original payment method, in the amount Shopify calculates. Check returns before confirming them; a confirmed refund cannot be undone in the app.
  • You are responsible for having a lawful basis to process your customers' data and for telling customers how you use it.

3. Fees

Any fees are shown on the app's Shopify App Store listing and billed through Shopify. You can cancel at any time by uninstalling the app.

4. Data processing

We process your store data only to provide the service and on your instructions, which these terms set out. We:

  • keep it confidential and limit access to staff who need it to run and support the service
  • use only the sub-processors named in the Privacy Policy (DigitalOcean for hosting, Better Stack for logs), and will tell you before adding another
  • protect it with encryption in transit and at rest
  • help you respond to data subject requests and to Shopify's privacy requests
  • tell you without undue delay if we become aware of a personal data breach affecting your store
  • delete your store's data after you uninstall, as described in the Privacy Policy.

Our Privacy Policy (https://returnsflow.app/privacy/) describes what data we access and keep.

5. Availability

We aim to keep the service available and working, but it is provided "as is", without guarantees of uninterrupted operation. Shopify outages or API changes may affect it.

6. Liability

Nothing in these terms limits liability that cannot be limited by law. Apart from that, our total liability is limited to the fees you paid for the service in the 12 months before the claim, and we are not liable for indirect or consequential loss, or for lost profits, revenue or data.

7. Ending use

You can stop at any time by uninstalling the app. We may suspend the service for misuse or non-payment.

8. Changes

We may update these terms. The date at the top changes. Significant changes are emailed to the store's contact address.

9. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
